Automated Google Ads reports: what you can automate and how

Published ยท KeySend

You can automate the data side of a Google Ads report today: Google Ads can email a statistics table as a PDF or CSV on a schedule, and Data Studio can email a whole report as a PDF. The judgement still needs a person: why a number moved and what to do next. This guide shows each automation route step by step, with its limits.

Route 1: schedule a statistics table in Google Ads

This is the fastest route, and it is free. It works on any page with a statistics table, such as Campaigns or Keywords. Statistics tables download as Excel CSV, TSV, PDF, XLSX, XML or Google Sheets.

  1. In Google Ads, open the page with the table you want, set the columns and the date range.
  2. Click the download icon in the upper-right corner above the table.
  3. Click Schedule.
  4. Choose the frequency (Google's examples are daily and weekly) and the format, such as CSV or PDF.
  5. Optional: click Save this report and enter a name to keep an editable copy in Report Editor.
  6. Click Schedule.

Limits of native scheduling

  • Recipients must have access to the account. Google's help says scheduled reports go to you or other people who have access to your account, so a client with no Google Ads access cannot be a recipient.
  • Report Editor schedules send .csv or .xml. Use a statistics table schedule when you need a PDF.
  • Reports run in the early morning in the account time zone. Google's help pages give different start times (1 A.M. on one page, 3 AM on another), so do not promise the client an exact hour.
  • Saved reports that you have not opened in over 18 months are removed automatically.
  • The file has numbers only. There is no summary, no logo and no explanation.

Route 2: schedule a Report Editor report

Use Report Editor when you need a custom table or chart, such as campaign by device. You find it as Report editor in the Campaigns menu.

  1. Open Report editor and open the saved report.
  2. Select the email and schedule icon (the clock).
  3. Select one or more account users to receive it.
  4. Choose the frequency and the format (Google's examples are CSV and XML).
  5. Select Save. To change it later, select the clock icon, then the pencil icon.

Route 3: manager account reports for many clients

In a manager account, the Reports page stores all your scheduled reports and up to 100 non-scheduled ones. Its download formats include .pdf, .csv, .tsv and .xml. All account users with access to view reports can receive them, and users with Email-only access receive them if you select that option. This helps an agency send one internal digest across clients. It does not give each client a separate branded report.

Route 4: Data Studio scheduled delivery

Data Studio (formerly Looker Studio; Google renamed it on 2026-04-16) is the common choice when the client needs a designed report by email. It is free for creators and viewers. You build the report once with the Google Ads connector, then schedule an email with the report attached as a PDF.

  • Free plan: at most one delivery per day and one schedule per report. Data Studio Pro allows hourly delivery and up to 200 schedules.
  • Up to 50 recipients per schedule. The free quota is 200 recipients per day and 800 per month (500 and 3,000 with Google Workspace).
  • The connector reads one Google Ads account per data source. Manager account users can report on up to 50 sub-accounts per data source, and viewers need access to the manager account and all sub-accounts.
  • Entities with zero impressions do not appear, and Auction Insights fields were removed from the connector in 2024.
  • Text boxes do not update themselves. A summary you typed last month stays the same until you edit it.

Route 5: Sheets, scripts and automated rules

A statistics table can download straight to Google Sheets, and connectors such as Supermetrics refresh Google Ads data in Sheets, Excel or a BI tool on a schedule. You then build the charts and formulas yourself. This gives full control of the layout and the calculations, and you own every formula error.

For alerts, Google Ads automated rules can send an email when a condition is met, for example cost over $50, checked daily. The Account Anomaly Detector script from Google compares clicks, impressions, conversions and cost with the same weekday across past weeks, sends at most one email per alert per day, and can run hourly. Its data can lag by up to 3 hours.

Route 6: a dedicated reporting tool

Client reporting platforms connect Google Ads with other channels, apply each client's branding, and email PDFs or links on a schedule. Several also offer a client portal. They cost more than the free routes and price per client, per dashboard or per data source. Use the checklist in our guide to choosing Google Ads reporting software to test one during a trial.

An automation workflow for an agency

The agency Google Ads reporting workflow covers the definitions sheet, the calendar and the QA gates in detail. The short version for automation:

  1. Write a definitions sheet per client: account, results column, comparison, time zone and recipient.
  2. Automate the data pull and the layout with one route above. Keep one template for all clients.
  3. Automate monitoring separately, daily, so problems do not wait for the monthly report.
  4. Keep a fixed slot each month for a person to read the numbers, write the summary and propose actions.
  5. Send only after a reviewer has compared the report totals with Google Ads for the same dates.
  6. Log what the client decided, and start next month's summary from that log.

Where KeySend fits

KeySend automates the daily reading of the account and the first draft of what changed. It connects with a Google sign-in and only reads the Ad Account. Every morning it writes an Update in plain English for each Ad Account: what changed in spend, conversions and Campaigns, with the evidence. Code calculates every number; AI only words the text from what code found. A Cause is labelled Confirmed or Likely, and a Contribution (the share of a change that one campaign or one device holds) is shown as a fact, not as a reason.

Rule-based Findings and Recommendations with their numbers come with each Update. Alerts arrive the morning after a Campaign stops or spend doubles; for conversions that go to zero, two days later. Each Account change on one Campaign gets a Follow-up after 14 complete days. A weekly email arrives each Monday. When you need a client file, you download a branded PDF Export of one Ad Account or one Campaign.

  • KeySend does not send reports on a schedule. You download the PDF and send it yourself.
  • The Export covers the last 7 or the last 30 days. It does not report a calendar month or a custom date range.
  • Google Ads only, up to 5 Ad Accounts per $49 per month Subscription (plus tax), one User, no client portal.
  • Read-only: you make each recommended change in Google Ads.
