KeySend vs manual Google Ads reporting with spreadsheets and slides

Published · KeySend

Manual reporting means you export from Google Ads, calculate in a spreadsheet and write the story in slides or a document. It gives you full control of dates, layout and channels. KeySend reads one to 5 Google Ads accounts every day and writes what changed, with the evidence, but only for the last 7 or 30 days and only as a PDF. Here is how the two compare, step by step.

The manual workflow and where errors creep in

A typical manual monthly report has six steps. Each one has a known failure point. We do not put a time on each step: it depends on the account and the person. Time your own steps once and you will know where your hours go.

StepWhat you doTypical error
1. ExportDownload statistics tables or a Report Editor report as XLSX, CSV or to Google SheetsWrong date range, wrong account in a manager account, or the All conversions column instead of Conversions
2. ImportPaste the export into the raw tab of the sheetA totals row pasted with the detail rows, so totals count twice
3. CalculateFormulas for CPC, cost per conversion, Conv. value / cost and changesCampaign ratios averaged instead of recalculated from totals; formula ranges that stop before new rows
4. ChartUpdate charts and tablesA chart still points at last month's range
5. WriteSummary, causes and next actionsA cause stated as fact without evidence; numbers in the text that no longer match the table
6. Package and sendPaste into slides or a document, add the logo, export, emailOld client's logo or notes left in a copied template

What manual reporting does better

Manual work wins whenever the report needs something a fixed tool does not offer. Be honest about which of these your clients need before you change anything.

  • Any date range: a calendar month, a quarter, a custom range, or year over year. KeySend reports only the last 7 or the last 30 days, each against the same number of days before.
  • Any layout: your own template, your own chart types, sections added or removed per client.
  • Any channel: Meta, GA4, LinkedIn or CRM data in the same sheet. KeySend reads Google Ads only.
  • Any format: a PowerPoint deck, Google Slides, a document or a PDF. KeySend makes a PDF only.
  • Any number of accounts and people: a spreadsheet does not cap accounts or users. KeySend allows up to 5 Ad Accounts per Subscription and one User per Workspace.
  • Your own words, edited freely. KeySend Updates and Recommendations cannot be edited.

What KeySend does instead

KeySend replaces the daily reading of the account and the first draft of steps 3 and 5. It connects with a Google sign-in, only reads the Ad Account, and never changes campaigns.

Every morning it writes an Update in plain English for each Ad Account: what changed in spend, conversions and Campaigns, with the evidence. Code calculates every number, so there are no formula ranges to break. AI only words the Update and the Recommendations from the numbers and changes that code found. A Cause is labelled Confirmed or Likely. A Contribution, such as the share of a change that came from one campaign or device, is shown as a fact and not as a reason.

Findings come from rules, never AI: conversion tracking not set up, no conversions recorded, search terms or keywords with spend and no conversions, a Campaign limited by budget, high cost per conversion or cost per click, a landing page that converts below the Ad Account rate, and ads with Poor ad strength. Each Recommendation names the problem, what it costs, the change to make and the numbers behind it. Once a week a Deep check reviews the search terms, keywords, landing pages and ads that take the most money.

Alerts email you the morning after a Campaign stops or spend doubles, and two days after conversions go to zero. KeySend reads the Account changes Google reports, such as a new budget, and gives each one on a single Campaign a Follow-up: the 14 complete days after against the 14 days before, with a verdict of it worked, has not worked yet, no clear effect, or cannot be judged. A weekly email arrives each Monday. The Export is a branded PDF that you download and send.

If you stay manual: a spreadsheet QA list

Keep three kinds of tab: raw exports as downloaded, calculations, and presentation. Never type over a raw tab. Then run these checks before each send.

  1. Scope: read a few raw rows. Check account name, dates, time zone, currency and the conversion column.
  2. Totals: compare cost, clicks and conversions with the Google Ads Campaigns table for the same dates.
  3. Ratios: recalculate account ratios from summed totals. Hypothetical: $100 for 10 clicks plus $900 for 30 clicks is $1,000 ÷ 40 = $25 CPC, not the $20 average of $10 and $30.
  4. Zero denominators: show a dash or n/a where there were no clicks or conversions. A formula that turns an error into 0 can show a cost per conversion of $0.
  5. Ranges: check that formulas and charts include rows added this month.
  6. Independent check: recalculate one small campaign by hand, outside the formula chain.
  7. Output: compare the numbers in the final slides or PDF with the checked sheet.

Using both

You can keep a manual monthly report and add KeySend for the daily part. During the month, KeySend's Updates tell you what changed, with a Confirmed or Likely Cause where code found one, and its Follow-ups record how each change turned out. At month end, you build the calendar-month report by hand as before and copy the checked explanations into it. If the client takes PDFs, the PDF and PowerPoint reporting guide covers both formats and the export checks.

If your bottleneck is the data pull and the layout, not the reading, a scheduled export or Data Studio report may be enough; see automated Google Ads reports. For a team or more than 5 accounts, compare options in the reporting software buyer's guide.
